We have a wide range of services
available which you can use in total

This package
includes;

Provide a full secretariat
service, staffed from 8.30am
till 5.00pm Monday to Friday.
The secretariat would handle all
inquiries; make all bookings,
produce all delegate
documentation including tax
invoices, name badge data,
tickets, guest lists, table
seating plans, banking runs,
receipts and much more.

Accept registrations via phone,
post, email, internet
registration page and facsimile

Respond within 24 hours via
written confirmation to the
event delegates.

Build and manage the Conference
database, AST has a multi user
license for the latest version
of MIE Summit Pro_Ver 9.37
(Conference & Event Management
Software). We have been using
the software since 1996.

Facilitate monthly email
campaigns to all Expressions of
Interest and Registered
Delegates to provide conference
updates and encourage them to
book at host venues to maximise
the number of free rooms for the
conference committee to use.

Source and manage the staging
and audiovisual element either
through in-house facilities or
by subcontracting.

Build and manage a conference
website with 256 bit encryption
and SSL security for the online
payment component. The website
will link to the reservations
pages on Qantas, Virgin and Jet
Star.

Design of the registration
response form in both print and
web formats.

Provide a dedicated and
experienced Event Manager.

Attend teleconference meeting to
advise and update the committee
on progress.

Provide the committee with
detailed event delegate
demographic reports on
“expressions of interest”,
“registrations by type”,
payments and banking.

AST would set up a full
accounting package for the
conference which will produce
over 150 reports for the
committee, hotels and suppliers
including companies involved in
any pre or post touring. The
conference website and online
registration system is monitored
24/7. AST will manage;
a) tax invoices
b) name badges, tickets
c) guest lists, function reports
d) table seating plans, session
reports
e) banking runs and chart of
accounts for delegate payments
f) delegate confirmation letters
g) rooming list reports to
hotels
h) Receipts and much more

Process payments either via
credit card, cheque or TT
deposit into your dedicated
conference account.

Chase up outstanding delegate
accounts.

Source delegate satchel and
arrange the packing and delivery
to the conference venue.

Arrange all name badges and
tickets.

Print delegate registration
envelopes with all registration
and ticket details for onsite
registration purposes.

AST can manage all aspects of
any social program, our event
management software will compile
seating and table plans for all
functions. We can sell and
record individual ticket sales
and/or account for all tickets
sold as registration inclusions.

AST can develop and publish a
fully optioned pre and post
touring program along with daily
tour and activity options for
accompanying persons.

At the conclusion of the
conference AST will provide the
committee with a full financial
reconciliation of all delegate
payments.
